Privacy Policy
Niphocare (Pty) Ltd ("Niphocare", "we") builds and runs WhatsApp booking and automation systems for businesses. This policy explains how we handle personal information, in line with the Protection of Personal Information Act 4 of 2013 (POPIA).
1. Two roles we play
- As a responsible party: when you contact us, request a demo or become a client, we decide how your information is used. This policy covers that information.
- As an operator: when we run a WhatsApp system for a client (for example a medical practice), we process their customers' information only on that client's instructions, under a written agreement. The client is the responsible party for that information, and their own privacy notice applies. Questions about it should go to that business first.
2. Information we collect
- Contact details you give us: name, business name, phone or WhatsApp number and email address.
- What you tell us about your business and what you would like the system to do.
- For clients: billing details and the information needed to set up and support their system.
- Basic technical information our hosting provider records when you visit this website, such as your IP address.
3. Why we use it
- To reply to your enquiry and arrange a demo or quote.
- To set up, run, support and invoice the services you sign up for.
- To meet our legal and tax obligations.
We do not sell personal information, and we do not use it for marketing without your consent.
4. Who we share it with
Only service providers we need to run our systems, each for their own part of the service: our hosting provider, Meta (WhatsApp Business Platform), PayFast (payments) and Google (calendar). Some of these providers store information outside South Africa. Where that happens, we rely on providers that are bound by data-protection laws or agreements that give protection comparable to POPIA.
5. Health and other special personal information
Some of our clients are healthcare providers. When we process health information on their behalf, we do so only as their operator, for the purpose they set, with access limited to what is needed. Our systems are designed so that test results, diagnoses and similar details are not sent over WhatsApp.
6. How we protect it
- Access is limited to people who need it, using passwords and secure connections.
- Systems are hosted with reputable providers and kept up to date.
- We keep information only as long as needed for the purpose, or as the law requires, and then delete it.
- If we become aware of a security compromise, we will notify the affected client or person and the Information Regulator as POPIA requires.
7. Your rights
You may ask us to confirm what personal information we hold about you, ask for a copy, ask us to correct or delete it, or object to us using it. You can also withdraw consent you gave us. Contact our Information Officer using the details below.
